Definitions<\/span><\/a><\/div><div id=\"description41-content-2462\" class=\"sh-content description41-content sh-hide\" style=\"display: none;\"><\/p>\n<p>A<strong> Student Organization<\/strong> is a group of at least 15 students who have common goals and interests, embark on joint activities in pursuit of these goals, and meet regularly to form close bonds.<\/p>\n<p>A<strong> University-registered<\/strong> student organization is one which has completed the registration requirements set by OSA and has been given permission to:<br \/>\n- use\/attach\/annex the name of the University (University of the Philippines, U.P.) to the name of the organization and\/or<br \/>\n- conduct activities;<br \/>\n- request for activity endorsement;<br \/>\n- request to use any University or College facility\/ies;<br \/>\n- apply for project grants;<br \/>\n- apply for a tambayan;<br \/>\n- partner with any UP unit; and<br \/>\n- participate in activities led by the University units (Christmes events, ACLE, UP Fair, etc.)<\/div><\/p>\n<p><div id=\"description42-link-2462\" class=\"sh-link description42-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description42', 2462, '2. New Organizations<\/p>\n<p>Those who wish to register a new organization must submit a letter to the Vice-Chancellor for Student Affairs (VCSA) through OSA. The letter must be duly signed by the head of the organization and noted by the faculty adviser. The relevant template can be found under the \"Forms\" tab.<\/p>\n<p>Upon submission, a user account and temporary password shall be given to the official representative\/ officer for the online registration process.<\/p>\n<p>The new organization must submit a duly notarized copy of their Constitution and By-laws, together with the registration requirements as stated in 2.2 of this guideline.<\/p>\n<p>3.b. Returning Organizations<\/p>\n<p>Applies to organizations who have no record of registration for 2 or more years.<\/p>\n<p>If org. was not officially registered but with pending status from the immediate previous academic year, follow registration process for \"Renewing Orgs\"<\/p>\n<p><\/div><\/p>\n<p><div id=\"description44-link-2462\" class=\"sh-link description44-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description44', 2462, '4. Membership<\/span><\/a><\/div><div id=\"description44-content-2462\" class=\"sh-content description44-content sh-hide\" style=\"display: none;\"><\/p>\n<p>An organization seeking registration for the <strong>first time<\/strong> must have a minimum of fifteen (15) members excluding officers.<\/p>\n<p>Organizations seeking renewal of registration must have a minimum of fifteen (15) members, officers included.<\/p>\n<p>The following Act of Misconduct regarding induction of student members is stated in the 2012 Code of Student Conduct of Up Diliman:<\/p>\n<p>\u201c IV.2.2.1.b. Accepting a student who has not completed a one-semester residency in UP Diliman for membership in a registered student organization, except in the case of a fraternity or sorority for which the residency requirement is one academic year; \u201c <\/div><\/p>\n<p><div id=\"description45-link-2462\" class=\"sh-link description45-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description45', 2462, '5. Faculty Adviser<\/span><\/a><\/div><div id=\"description45-content-2462\" class=\"sh-content description45-content sh-hide\" style=\"display: none;\"><\/p>\n<p>An organization can have more than one faculty adviser but <strong>must<\/strong> have at least one \"senior\" faculty adviser. The senior faculty adviser must be a full-time faculty of the University. Lecturers, Senior Lecturers, part-time Instructors, REPS with teaching load, and visiting professors are allowed to be \u201cJunior\u201d advisers. Any faculty adviser must adhere to the duties and responsibilities stated in the OSA Form 10. <\/div><\/p>\n<p><div id=\"description46-link-2462\" class=\"sh-link description46-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description46', 2462, '6. Status', '6.  Status '); return false;\" aria-expanded=\"false\"><span id=\"description46-toggle-2462\">6. Status<\/span><\/a><\/div><div id=\"description46-content-2462\" class=\"sh-content description46-content sh-hide\" style=\"display: none;\"><\/p>\n<p>A Probationary Status is give to new and returning organizations during the Academic Year.<\/p>\n<p>Organizations on Probationary Status shall be given limitations on the type of activities they can conduct during the Semester \/ Academic Year.<\/p>\n<p>Organizations granted registration on a probationary status during the previous school year must show proof of growth in terms of activities, expansion in membership and organizational stability. Otherwise, their application for renewal shall be denied. <\/div><\/p>\n<p><div id=\"description47-link-2462\" class=\"sh-link description47-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description47', 2462, '7. Certificate of Registration<\/span><\/a><\/div><div id=\"description47-content-2462\" class=\"sh-content description47-content sh-hide\" style=\"display: none;\"><\/p>\n<p>An organization whose application for registration is approved shall be given a Certificate of Registration covering one academic year for those registered during the first semester and one semester, including the mid year term, for those registered during the second semester.<\/p>\n<p>Organizations which are not officially registered shall not be entitled to any of the privileges outlined in 1.3. of the Guidelines.<\/div><\/p>\n<p><div id=\"description48-link-2462\" class=\"sh-link description48-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description48', 2462, '8. Graduate Student's Organization<\/span><\/a><\/div><div id=\"description49-content-2462\" class=\"sh-content description49-content sh-hide\" style=\"display: none;\"><br \/>\nGraduate Students' organizations seeking University-registration must meet the following:<\/p>\n<ol>\n<li>Completed the required Bukluran forms<\/li>\n<li>Have only graduate students as members<\/li>\n<\/ol>\n<p><\/div><\/p>\n<p><div id=\"description50-link-2462\" class=\"sh-link description50-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description50', 2462, '10. Did not attend any of the annual required seminar\/s;<\/h6>\n<h6>b. Has NO faculty adviser;<\/h6>\n<h6>c. Did not completely fill up any of the registration forms;<\/h6>\n<h6>d. Did not have the required number officers and members;<\/h6>\n<h6>e. Is still serving penalty\/ies at the time of application;<\/h6>\n<h6>f. Has unsettled financial accountability with the University and other concerned units until, during the time of application; and\/or<\/h6>\n<h6>g. Did not conduct any substantial number activities to be considered as an active organization.<\/h6>\n<p><\/div><\/p>\n<p><div id=\"description52-link-2462\" class=\"sh-link description52-link sh-hide\"><a href=\"#\" onclick=\"showhide_toggle('description52', 2462, '12. It is possible for some organizations to finish the registration process in three days and this would be considered the ideal situation. This includes the organizations full name, acronym, date established\/ founding date, category (see Org Clusters), incorporation with the Securities and Exchange Commission, Mailing address or tambayan, permanent and head's email addresses, and Org description\/ vision\/ mission.<\/li>\n<\/ul>\n<p><em><strong>Form 1.1 - Faculty Adviser\/s<\/strong><\/em>. The officers shall be held liable under the provisions covering the 2012 Code of Student Conduct for failure to comply with the requirements and\/or any misrepresentation or submission of any false information in the registration process.<\/p>\n<h3>Org Orientation<\/h3>\n<p>All organizations MUST attend the orientation.<\/p>\n<p>The orientation is a half-day seminar designed to introduce and inform the student orgs of the procedures and processes for org registration by the Office of Student Activities (OSA). Representatives from other administrative units, such as the Office of the Vice-Chancellor for Community Affairs (OVCCA), and Technology Transfer and Brand Development Office (TTBDO), which are involved in the processing and approval of activity requests are also present to inform and explain to the student orgs the guidelines of their respective offices. It is also a venue for the students to directly ask questions and seek clarifications from the relevant offices on registration procedures and activity requests approval.<\/p>\n<p>We require the head of the org to be the one to attend the orientation, or if s\/he\u2019s not available, the next highest-ranking officer. We require the attendance of the highest-ranking officer(s) because of the nature and objective of the orientation. It is expected that they can immediately and effectively communicate the concerns of the organization to the offices and relay the response to their members.<\/p>\n<h3>Personal appearance (by appointment)<\/h3>\n<p>After filling up the online registration forms, the head of the organization shall be scheduled for interview by the Coordinator of OSA or his\/her authorized representative and\/or the VCSA.<\/p>\n<p>Org officers (minimum of 3) are required for a brief 15-20 minute meeting with the head and\/or staff of OSA. It is a way for the office to verify the accuracy of the information provided by the orgs in the Bukluran database and to get to know the organization. The officers must prepare a short presentation (about 5-7 minutes) of the activities that the org has accomplished the prior year and its plans for the coming year. The personal appearance is also a way for the officers to ask for clarifications regarding matters on student activities and air their concerns on the administration of their respective organizations.<\/p>\n<h3>Seminars<\/h3>\n<p>During the academic year, there will be seminars, conferences, and other educational, as well as cultural and social activities which the student organizations shall be advised to attend. The attendance in these seminars shall be credited towards their next year\u2019s registration. Two (2) representatives per organization must <strong>complete<\/strong>\u00a0the training seminars for them to be credited. Presently, there are two types of seminars which are required for registration:<\/p>\n<ol>\n<li>Leadership Training Seminar* In keeping with the emphasis of UP education on student leadership, all heads of student orgs are required to attend the leadership training seminar (LTS). Usually, the University Student Council (USC), as the highest student representative body in the university, coordinates and conducts the LTS after consultation with the students on the topics of interest and relevance to be taken up in the seminar.<\/li>\n<li>Kasarian 101 and\/or 102 (Gender Sensitivity Training Seminar). UP upholds gender equality and gender rights as basic human rights. The Diliman Gender Office (DGO) has an institutionalized training seminar conducted every September.
